How Generative AI helps Project Management

Since the emergence of generative AI, the world has experienced an unexpected and radical change. A lot of companies across different sectors are exploring how to exploit the capabilities of this technology, transforming markets and work models. Generative AI allows us to significantly reduce the time needed to complete many tasks, freeing us up to focus on activities that provide greater value.

Project management is not an exception and can greatly benefit from generative AI to optimize necessary but low-value-added tasks. This allows us to focus on what is really important: people and their interactions.

Of course, generative AI is still far from perfection and has a long way to go. However, it already represents a powerful tool for Delivery Managers, project managers and leaders. But it is essential to remember that any results generated by AI must be reviewed and validated with the team, as their responses may not be perfect or appropriate in all cases.

Main uses of GenAI on Product Managment

Learning and using this technology is relatively simple and accessible to anyone. Its operation is based on prompts, defined as instructions or inputs that we enter into the system to obtain a response. The key is to provide an adequate context so that Large Language Models (LLMs) can generate accurate and relevant responses. If we generate this context incorrectly, we can obtain erroneous or inaccurate responses, known as hallucinations.

From this base, multiple tools have emerged that integrate generative AI into our work platforms, speeding up processes and improving efficiency. Some solutions already incorporate assistants and agents that automate common tasks:

    • Microsoft Copilot
    • Google Gemini
    • ChatGPT integrated into Atlassian (JIRA and Confluence)
    • The Miro assistant
    • And many more.

Below, we explore some key use cases where generative AI helps us minimize tedious and recurring tasks in project management

🚀 GenAI Usefulness for Meetings

    • Automatic generation of meeting minutes, including decisions and actions assigned.
    • Creating real-time summaries for people who join late, avoiding interruptions.
    • Risk detection in conversations and work meetings.
    • Automating the scheduling of new meetings and creating events in the calendar.

📅 GenAI on Project Planning and Management

  • Generating a Project Charter.
  • Creating a first version of the work plan or roadmap.
  • Creating dependency maps.
  • Calculating Earned Value and other key metrics.
  • Analysis of milestone compliance and possible deviations.
  • Identifying project risks.
  • Estimating and controlling costs.
  • Automating project documentation.
  • Automatically filling in templates with key information.

🔄 AI in Agile

    • Calculating the optimal duration of a sprint based on metrics such as Cycle Time.
    • Detecting bottlenecks in the workflow.
    • Measuring Throughput in Kanban teams and other efficiency metrics.
    • Automatic transformation of user stories into standardized formats.
    • Backlog prioritization based on objective dependencies and metrics.

AI as Complement (not substitute) for the Delivery Manager

These use cases demonstrate how generative AI complements the role of the Delivery Manager, not replaces it. Its true value is allowing us to spend more time on people, strategy, and decision-making, rather than investing time in mechanical or administrative tasks.

Whenever we use generative AI in project management, we must remember that human validation remains essential. AI does not replace our work, but acts as a facilitator, helping us focus on the most critical aspects of the project.

In future articles, we will explain how to generate specific prompts to optimize each of these tasks. See you soon! 🚀
